Mô Tả Công Việc

We are currently hiring for the position of Business-to-Business Accounts Receivable Clerk and customer service. This role will be based in our Vietnam office but will be aligned with Lavergne's headquarters in Montreal, Canada and Belgium. Reporting to the Accounts Supervisor, the Accounts Receivable Clerk will be responsible for accurately invoicing clients for goods sold. Collaborating with our sales departments in Canada and Asia, they will verify and record transactions, addressing any account discrepancies. Additionally, the role involves ensuring timely collection of accurate amounts from customers, providing essential support throughout these processes.


Customer Service and Orders – Canada & Belgium
• Opening of a new customer account after receiving form online
• Validate credit approval
• Entering PO from customers and align with shipping department for the ETD.
• Ensure the follow-up of the order process in the ERP system in Canada & Belgium.
• Send an order acknowledgement and addressing customer inquiries proactively.
• Assemble the necessary documents for invoicing with the COO & COA, if required.

Accounts Receivable Clerk – Canada & Belgium
• Ensure the follow-up of accounts receivable according to the terms (credit limit and payment) of the customers
• After shipment, invoice all deliveries and send the COO (Certificates of Origin) and COA (Certificate of Analysis)
• Ensure that all deposits are recorded in the system
• Reconcile the accounts receivable subsidiary
• Follow up on accounts in arrears (telephone, email, registered letter)
• Follow up on credit notes to be issued and obtain the necessary approvals before proceeding with the credit
• Ensure that all invoices are recorded in the auxiliary before month end
• Reconcile inventory when shipments are made
• Generate weekly reports for the supervisor's review and other reports.
• Conduct weekly follow-ups on account statements with customers, emphasizing the settlement of overdue invoices
• Any other related duties.

Yêu Cầu Công Việc

• Minimum of one (1) year experience in a similar position
• Hands-on experience with spreadsheets
• Proven ability to calculate, post and manage accounting figures and financial records
• Attention to detail
• Excellent organizational skills and ability to multi-task
• Knowledge of ERP payables modules and Microsoft office (Excel and Word)
• Fluency in English is essential. French is an asset
