Job Description:
Administrative Support
• Scheduling and Calendar Management: Organizing meetings, appointments, and travel arrangements for direct manager
• Communication: Handling emails, phone calls, and correspondence, ensuring timely responses and follow-ups. Taking meeting minutes and distributing them to relevant stakeholders.
• Documentation: Coordinating with H&H team member for reports, presentations, and other documents as needed.
• Travel and Logistical Arrangements: Managing travel accommodations, including hotel reservations, flight bookings, car rentals, visa applications, and restaurant bookings for business trips and events.
Sales & Operational Support
• Office Management: Overseeing office supplies, equipment maintenance, and general office upkeep.
• Claims & Payment of Incentives, Expenses: Managing the submission, approval, and payment processes for employee claims, incentives, and business expenses.
• Event Coordination: Organizing sales meetings, conferences, company outing trip, CSR and other events.
• Contract Management: Overseeing the preparation, review, and administration of contracts to ensure compliance and proper documentation.
• Raising PO and Posting Receipts in System: Handling the creation of purchase orders and ensuring receipts are accurately posted in the system.
• Sample Requests: Handling the distribution and tracking of product samples for sales and marketing purposes.
• Staff Sales: Coordinating and managing sales activities and promotions for staff members.
• Monthly Expense Accruals: Managing the process of recording monthly expense accruals to ensure accurate financial reporting.
Project Assistance
• Project Assistance: Supporting various projects and initiatives led by the Country Manager & Sales Director.
Yêu cầu công việc
• College degree or bachelor’s degree (MKT, Finance, Management or related field is preferred)
• 2-3 years of experiences in administrative roles, sales support, or office management.
• Additional certifications in office administration, project management, or sales support can be advantageous.
• High responsibility, able to work under high pressure
