JOB SUMMARY: Provide a brief summary of the overall purpose of the role within the organization.
Admin Specialist is the role performs a variety of administrative tasks and support Vice President. Admin Specialist’s responsibilities include managing calendars, making travel arrangements and preparing expense reports, etc. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.
CORE JOB RESPONSIBILITIES: List the primary/essential job duties and responsibilities & the objectives of the role.
• Provide administrative support for Vice President, assist in formulating and implementing various company’s strategies, annual business development plans and decomposition of work objectives at each stage. Draft work summaries of company at each stage and other official documents.
• Assistant Vice President in coordinating the daily management of company, supervise the implementation of various work deployments and instructions of all departments.
• Responsible for arrangement of Vice President’s daily schedule, carry routine tasks, process files and manage paper tasks and related correspondences preparation and arrangement, etc.
• Responsible for the follow up and supervision and feedback the implementation of important instructions issued by the top Management.
• Responsible for organization and minutes of the management meetings, draft and release meeting minutes, resolution, decisions and other related documents.
• Signatures application and approval for varies documents
• Establish good communication with various departments, assist Vice President in deal with internal and external relationships, delivery instructions and tasks from superiors in time to ensure the implementation can be carried out effectively.
• Assist in daily business work, establish and maintain good relationship with the company's important customers and partners
• Participate in planning, arrangement and organization of corporate events, public relations activities and related preparation.
• Other tasks assigned by Vice President.
Yêu cầu công việc
• At least 5 years related experience. At least 3 years of general manager or president assistant experience.
• Observant, proactive, and with a sense of urgency. Ability to continuously promote the work according to the rhythm of the Top Management and adapt to overtime.
• Good Vietnamese and English, Chinese is plus
• Presentable, patient, with good nature and a pleasant appearance.
