I Student Admission & Enrolment
1. Drive the full admissions and enrolment process from first inquiry to confirmed placement, ensuring a seamless and engaging experience for families.
2. Proactively follow up on leads from digital campaigns, referrals, and events to maximize conversion.
3. Conduct school tours, information sessions, and orientation programs for prospective families.
4. Achieve agreed enrolment targets and track progress through reports.
5. Follow up with prospective families to guide them through application, assessment, and offer stages.
6. Collaborate with Marketing to plan and execute recruitment campaigns, open houses, and promotional activities.
7. Prepare weekly and monthly admissions reports, including conversion rates and source analysis.
8. Provide insights on key markets, competitor activities, and parent feedback to guide recruitment strategy.
9. Ensure accurate and timely communication with families throughout the admissions process.
10. Provide administrative support to the Head of Administration as needed.
II Marketing & Communication
1. Support the development and execution of marketing plans that drive awareness, engagement, and enrolment
2. Assist with the creation of marketing materials, social media content, and website updates in line with the school’s brand guidelines
3. Coordinate photography, videography, and storytelling activities that highlight school life and achievements
4. Support school events, open houses, and community engagement initiatives that strengthen the school’s profile and reputation
5. Monitor and analyse marketing and admissions data to identify trends and inform decision-making
6. Track and analyse updates from competitor schools.
II Customer Relationship Management
1. Serve as the first point of contact for prospective families, delivering a warm, professional, and informative experience.
2. Build lasting relationships with prospective and newly enrolled families to support satisfaction and retention.
3. Manage admission-related communication (emails, offers, letters) with a personalized and timely approach.
4. Conduct feedback surveys and recommend improvements to enhance the admissions journey
5. Liaise with Marketing and Academic teams to support open houses, school fairs, and community events.
III Data Management & Reporting
1. Maintain confidential records of student data and ensure compliance with data protection regulations.
2. Update and reconcile admission and enrolment data across systems (student database, Excel and other related system databases).
3. Track and analyze lead sources, conversion performance, and pipeline health to inform decision-making.
4. Support audit, accreditation, and management reviews with up-to-date admissions documentation.
IV Other Duties (as assigned)
1. Participate in school-wide events, meetings, and projects as required.
2. Support the Head of Administration and school leadership in other ad-hoc tasks or special projects.

- Maintain professional and ethical conduct when handling family data and interactions.
- Uphold confidentiality and compliance with data protection standards.
- Contribute actively to school reputation through professional representation at all external events.
- Maintain positive, professional, and supportive relationships with colleagues, departments, students, and parents.
- Represent the School in a professional manner during school tours, open houses, and external events.
Authorities:
- Access and manage relevant admissions systems and tools.
- Recommend improvements to admissions processes, campaigns, and communication flows.
- Coordinate directly with Marketing, Academic, and Administration departments to ensure effective onboarding.
- Make operational decisions within the approved scope under the Head of Administration’s guidance.
Reporting Line / Delegation of Authority:
- Functional report to the Head of Administration.
- Coordinate with the Marketing and Academic Team for recruitment and placement activities
Education, Professional Background & Skills:
Professional Qualification:
- College / University degree in Business Administration, Marketing, Communication, Education Management, or related fields
Certificates:
- Relevant short-term training certificates in Customer Service, Communication, Marketing, or Education Administration (if any)
Foreign Language:
Good command of English and Vietnamese, with the ability to communicate effectively in both written and spoken form
Computer Skills :
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Experience with CRM, database systems, or school management software is an advantage
Skills:
- Strong sales and customer service orientation
- Analytical mindset with the ability to interpret data and trends
- Team player with initiative and adaptability
Other Requirements:
- Professional, friendly, and service-oriented working style.
- Strong interpersonal skills and ability to work with diverse cultures and age groups.
- High level of responsibility, integrity, and confidentiality in handling student and family information.
- Ability to manage multiple tasks and deadlines in a dynamic school environment.
- Willingness to work flexible hours for events or peak recruitment periods.
