1. Office & Asset Management:
• Oversee all relevant office physical conditions such as office rental, layout, facilities,
assets, security, hygiene and cleanliness and ensure physical security operations in
accordance with ISO and related requirements.
• Control and ensure the providence of office supplies and internal services such as
stationery, water, logistics, courier, etc.
• Closely coordinate with Building Management for registration of access cards & other
Administrative works.
• Make a periodical office audit and ensure necessary maintenance and repair, and all
equipment and tools are in proper condition.
• Manage a receptionist and a tea lady who assist with relevant duties.
2. Business Trips/ Transportation:
• Arrange air-ticket, accommodation, transportation, travel insurance, visa, etc. for
employee business trips.
• When an overseas delegation visits Vietnam, make necessary accommodation,
transportation, and F&B arrangements.
• Manage a fleet of company cars and drivers.
3. Expenditure Control and Vendor Management:
• Liaise with vendors and suppliers for office management services. Negotiate contracts
and manage relationships to ensure high-quality service delivery and cost efficiency.
• Involve in the planning and management of administrative and office management
expenditure according to budget and ensure all items paid on time.
4. Others:
• Coordinate with admin staff at office branches to ensure alignment and smooth delivery
of administrative services.
• Perform other reasonable tasks assigned by Head of Administration.
Yêu cầu công việc
• Qualification: University degree in Administration or equivalent
• Experience: A minimum of 3 years of relevant working experience at another multinational company.
• Strong verbal and written skills in Vietnamese and English;
• Proficiency in Microsoft Office tools;
• Detail orientation and organization skills;
• Communication skills to work with various stakeholders;
• Teamwork and collaboration;
• Self-motivation;
• Professional grooming.
