Client Service Administrator

Client Service Administrator will play a pivotal role in ensuring seamless communication between clients and internal teams, guaranteeing exceptional service delivery at every touchpoint.
Main duties:
- Client Engagement: Serve as the initial point of contact for clients, providing them with comprehensive information on our services, procedures, and pricing, and assisting them with new enquiries and appointments.
- Information Gathering: Collect all necessary client information, including B/L, P/L, PIC details, and service requirements, ensuring accuracy and completeness to facilitate smooth operations.
- Database Management: Initiate and maintain client databases in our system (Lab Create), ensuring that all client information is up-to-date and easily accessible.
- Job Coordination: Create and manage job references in Lab Create, liaising effectively with clients, surveyors, and workshops to finalize service scopes and provide clear instructions.
- Progress Tracking: Receive and review daily job updates from surveyors, maintaining proactive communication with clients through regular email updates to keep them informed of job progress.
- Issue Resolution: Address client inquiries and resolve any issues or challenges encountered during operations promptly and efficiently, ensuring client satisfaction is prioritized.
- Documentation Management: Review job reports submitted by surveyors, ensuring all jobs’ data and documentation is accurate and filed appropriately.
- Reporting and Invoicing: Prepare comprehensive job reports, certificates, and invoices accurately and in a timely manner for clients.
- Database Maintenance: Archive completed jobs in Lab Create and maintain organized file folders containing original job documents, ensuring data integrity and compliance.

* Required knowledge, skills and experience:
Required Knowledge, Skills and Behaviours: Below technical knowledges, skills and behaviours required for Client Service Administrator:
- Knowledge of International/ National/ Industry Standards relating to inspection jobs
- Knowledge and understanding of commodities
- Skill of reading, writing to research standards/ Group’s TOGs and issuing the Working Instruction to inspector team
- Knowledge and skills of working with Lab Create
- Skills of negotiating/ corresponding with clients
- Teamwork skills
- Good behaviour with partners, colleagues
- Required for work experience: not required
* Desired knowledge, skills and experience:
- IELTS at 7.0 is required for English.
- Good at Microsoft Office (Excel, PowerPoint and Word) and emails
- Graduated from: Vienam Maritime Univesity, University of Technology, University of Mining & Geology. Newly-graduate student is acceptable
- Sex: Male
