The Compliance and Data Protection Co-Ordinator has two main objectives:
• In the capacity of Regulatory Compliance, he/she will ensure Vietnam/Thailand maintains documentation, practices and procedures to ensure the schools abide by all relevant legal and regulatory rules applicable to it; and perform a detailed crosswalk between these sets of standards to ensure holistic alignment. This position will work with all departments within the country to maintain an effective Regulatory Compliance Program.
• In the capacity as a Data Protection Co-Ordinator, he/she will work with various schools in the country to ensuring that all of our students', parents’ and staffs’ data is protected, and that our work complies with data protection legislation. He/She will ensure compliance to the country’s PDPA and/or Cognita Data Policies, ensure relevant school documentation for the purpose of data protection are updated, and promote a culture of data protection and compliance across all schools in the country
Regulatory Compliance:
• Support localisation of policies to ensure all procedures/practices that govern regulatory compliance are up to date, effective and well-known amongst the teaching and support community
• Document and maintain a Compliance Program that meets the laws and regulations applicable to each school in the country and any new programs developed and operationalized by the schools
• Develop a working knowledge amongst the teaching and support community of all areas of compliance applicable to the schools
• Maintain a centralized e-filing system within which to maintain compliance documents
• Provide assistance to auditors and/or inspectors in compliance reviews either onsite or through submissions
• Assist in the development of compliance-related policies and procedures from time to time.
• Ensure that all policies and procedures relating to compliance have been appropriately approved and documented within the school.
• Assist in corrective action in response to external compliance investigations and review findings
Personal Data Protection:
• Act as the primary point of contact within the organization for members of staff, Regional Office, regulators, and any relevant public bodies on issues related to data protection
• Ensure the School's/ Cognita's policy is in accordance with General Data Protection Regulation (GDPR) and codes of practice
• Evaluate the existing data protection framework and identify areas of non or partial compliance and rectify any issues
• Work with regional legal counsel on training plans and provide data protection advice and support for members of staff
• Inform and advise the Data Controller or Data Processor on all matters related to data protection
• Promote a culture of data protection compliance across all units of the organization
• Daily and Monthly Responsibilities
• Provide expert advice and educate employees on important data compliance requirements
• Assist in the drafting of new and amend existing internal data protection policies, guidelines, and procedures, in consultation with key stakeholders
• Hold training with staff members across different business and Academic units who are involved in data handling or processing
• Proactively conduct audits to ensure compliance and address potential issues
• Maintain records of all data processing activities carried out by the schools
• Serve as the point of contact between the School/ Regional office and the data protection authorities
Yêu Cầu Công Việc
• Minimum of three years’ experience working in compliance role or a related field
• Expertise in local data protection laws and practices including an in-depth understanding of the GDPR and PDPA is preferred
• Experience within a legal, audit and/or risk function department
• Strong project management skills
• Ability to work well under pressure and manage sensitive and confidential information
• Excellent verbal and written communication skills, with strong attention to detail
• Great interpersonal skills and ability to work well both independently and as part of a team
Preferred Qualifications
• Bachelor’s degree from an accredited university
• Proficient in Microsoft Office Suite or related writing and presentation software
The job holder’s responsibility for promoting and safeguarding the welfare of children and young person’s for whom s/he is responsible, or with whom s/he comes into contact will be to adhere to and ensure compliance with the relevant Cognita Safeguarding; Child Protection Policy and Procedures at all times. If in the course of carrying out the duties of the role, the job holder identifies any instance that a child is suffering or likely to suffer significant harm either at school or at home, s/he must report any concerns to the School’s Designated Safeguarding Lead or to the Head of School or indeed to the Regional CEO or Safeguarding Manager - Asia so that a referral can be made accordingly to the statutory services.
