YOUR ROLE
Property Services team has the responsibility to operate, maintain and enhance the buildings owned by RMIT University, oversee construction projects and ensure the provision of physical facilities services. Property Services consists of the following business units:
• Projects
• Facilities Management
• Asset Utilisation
• Business Administration
The position is responsible for managing and delivering high quality and timely services to RMIT staff and students’ events organised on campus. This position is also expected to handle various types of space booking enquiries from users on the Saigon South campus and respond to enquiries in the ticketing system.

KEY ACCOUNTIBILITIES
Lead the coordination with internal event organisers including Academic, Student Life, Event department and Property Services team to provide required setup, facilities and other services such as security, cleaning for events in SGS and Pham Ngoc Thach campuses.
Coordinate with OH&S to provide event organisers with proper instructions on health, safety and hygiene compliance.
Supervise the maintenance team to provide services as required by School and Student Services for all key teaching university activities such as mid-term tests, final examinations, teaching workshops to improve students’ experience.
Deliver efficient and effective services responses to enquiries in request tracking system and close them properly
Contribute to the development of event procedures and liaise with Property Services staff and clients to ensure the procedures are understood and implemented accordingly.
Identify issues and take immediate action to mitigate potential problems relating to event support.
Handle ad-hoc bookings from users and timetable input when required into the timetabling system.
Conduct space audit across Saigon and Hanoi campuses.
Handle users requesting moves/changes and supervise the moves.
Provide support to all tasks assigned by line manager.

A tertiary qualification in related field
At least 3 years of experience in a planning and coordination role with a high level of ability in prioritising multiple tasks and meeting deadlines.
Demonstrated experience in developing strong working relationships with a diverse range of stakeholders.
Excellent customer service approach.
Well-developed interpersonal skills, including influencing, negotiation, communication and liaison
Demonstrated knowledge and commitment to continuous improvement principles.
Ability to display appropriate behaviours in line with the position, as per the RMIT Behavioural Capability Framework (Connectedness, Commitment to Excellence – Improve and Simplify; Imagination and Innovation; Impact; Inclusion; Agility).
Experience in events management is desirable.

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) with a score of at least 6.0 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).
