Customs Clearance Documentation Specialist (Ho Chi Minh City / Hanoi)

1/ Overall Job Purposes:

We are looking for the Customs Clearance Documentation Specialist (CDZ Documentation Specialist) based in Ho Chi Minh City & Hanoi. This role is responsible for ensuring the efficient and compliant processing of import and export shipments through customs, arranging domestic trucking and performing other value-added services as required.

2/ Main Tasks & Key Responsibilities:

• Serve as the primary contact for customers to arrange customs clearance, trucking, and other value-added services.

• Develop and execute customer Standard Operating Procedures (SOPs).

• Ensure all documents are complete and correct before proceeding with customs clearance.

• Prepare and process import and export declarations according to current customs regulations.

• Provide consultation to customers regarding customs regulations, classification, commodity regulations, etc., with support from the Team Leader or Trade Compliance Manager when needed.

• Arrange appropriate trucking plans.

• Manage supplier performance for all required services.

• Ensure all timestamps and milestones are updated correctly and on time.

• Liaise with customs authorities and suppliers to resolve any issues or queries related to shipments (e.g., escalations, disputes, irregularities).

• Manage files in the DHL Global Forwarding's operational system end-to-end (from file creation and document upload to billing and file closure).

• Ensure customs and transportation documents (Proof Of Delivery, etc.) are archived properly as per internal requirements.

• Perform required post audits.

• Prepare necessary internal and customer reports.

• Participate in or lead continuous improvement projects.

• If the candidate prefers working in HCMC: - 11th Floor, e.Town 2 Building, No. 364 Cong Hoa Street, Tan Binh Ward, HCMC

• If the candidate prefers working in Hanoi: - 18th Floor, Charmvit Tower, No. 117 Tran Duy Hung Street, Yen Hoa Ward, Hanoi

• Proven experience in customs brokerage, import/export operations, domestic transportation, or a similar role.

• Proficient in English, especially in writing and speaking.

• Compliance and continuous improvement mindset.

• Strong attention to detail and accuracy.

• Open-minded attitude.

• Good teamwork spirit.

• Ability to work under pressure and meet tight deadlines.

• Customs brokerage license (is a plus).

• Strong communication and problem-solving skills.

• High degree of written, verbal, and organizational skills.
