Job Description

- Develop regulations, organize, and perform administrative work according to functions and duties.
- Carry out/supervise procurement, including sourcing, evaluating suppliers, negotiating contract terms and conditions, ensure the most favorable cost, quality and other procurement conditions for the Company.
- Responsible for proposal and management of vendors for all office services such as stationeries, tree rental, sanitary, car rental, taxi, express mail, etc.
- Manage the implementation and payment of administrative expenses on time, proper payment documentation, control the optimal use of budget effectively.
- Manage the use, statistics and preservation of the Company assets. Proposing to upgrade, immediately repair broken assets, liquidate and transfer assets suitable for use purposes.
- Implement and organize the storage of records, documents, and official letters in a timely and scientific manner.
- Develop a plan, organize and supervise the implementation of security, safety, labor hygiene and fire prevention.
- Liase with government authorities regarding Company’s administrative issues.
- Handle the amendment/registration of Company’s certificates/licenses for operations and businesses
- Supervise/Carry out to make business travel arrangements for employees including flight tickets, accommodation, etc. Ensure to arrange business trips smoothly and promptly, and utilize the most cost-effective options
- Organize internal company events including meetings, company trips, team building activities, etc.
- Responsible for all operations of office facilities and supplies, check office facilities regularly, ensure the office stocked with necessary supplies and all equipment worked properly, utilize budget and cost of office operations. Ensure the work environment could promote the productive work, neat, tidy, and clean all the time, propose for necessary office renovation.
- Responsible for the whole process of company’s transition to a new office as it arises, including searching for office premises, finalizing lease agreement, selection and management of interior vendors. Liase with building management about related issues.
- Ensure all activities/documentation for GA operations comply with related laws and regulations.
- Monitor the compliance with office rules, administrative, security and safety regulations.
- Jobs related to expats: Monitor, amend/apply for work permit, residence card/visa, rental contract and support other jobs for expats.
- COVID-19 pandemic related procedure: vaccine, data collection and report, requirements for Covid test and working from home, etc.
- Propose and organize annual health check for employees.
- Assign work to subordinate staff, manage, monitor and evaluate the performance of subordinates. Report and follow the direction of upper management.

Job Requirements

- Graduated from university with related majors, prefer Bachelor’s in Human Resources Management, Business Administration, Law, Administration
- Be knowledgeable about labor laws, laws related to policies of Vietnamese employees and expatriates
- Regularly update the amendments and supplements of the Labor Law and other related regulations of the government
- Knowledge in fields of securities is preferable
- Having 5 - 7 years of experience in GA, office management field with a minimum of 2 - 3 years of experience in a Team Leader/Manager role
- Priority is given to candidates working in finance, banking, securities, fintech, IT
- English proficiency: good at 4 skills
- Good proficiency of Office informatics skills (Word, Excel, PPT)
- Leadership and management skill, negotiation, and problem-solving skills
- Planning, organization and monitoring skills
- Smart, flexible, good at communication
- Highly responsible, trustworthy, strong work ethic, pro-active and multi-tasking
- Work well under high pressure, can-do attitude
- Initiative, enthusiastic, pay attention to details and customer-oriented
