Execution Staff

We are looking for a detail-oriented and proactive Execution Staff to join our team.

The ideal candidate will be responsible for administrative tasks related to certification, sample management, claims, invoicing, stock control, and final releases.

This role requires strong analytical skills and good English communication, as it involves frequent interaction with many parties.

Key Responsibilities:

• Certified Admin:

Declare certificates (RFA, Organic, Fairtrade, EUDR, etc.) on the portal and send certificates for all shipments/deliveries.

Prepare declarations, check invoices, and organize audits.

• Sample Admin:

Monitor and maintain administrative records related to samples.

Update and verify sample results, ensuring timely communication with traders, origin teams, and client.

• Claim Admin:

Manage claim files, issue credit notes and debit notes as required.

• Franchise/Final Invoice:

Check and calculate weight notes.

Issue Franchise invoices and send them to clients.

• Stock Control:

Regularly check and reconcile stock with warehouses.

Manage certified stock and conduct periodic checks with warehouses.

Provide data for stock insurance, stock finance, and accounting.

Manage warehouse data efficiently.

• Final Release:

Send final release to the warehouse once payment is fully received.

• Perform other tasks as assigned by the department head.

• Bachelor’s degree in Business, Logistics, Supply Chain, or a related field

• At least 5 years of experience in logistics or shipping, experience in the coffee industry is an advantage.

• Good English proficiency.

• Strong analytical skills, detail-oriented, good problem solving abilities.

• Organized, ability to work independently and handle multiple tasks in a fast-paced environment.
