Overall Responsibility:
- Ensure the effective, compliant, and efficient operation of General Affairs and Administration functions to support daily business activities and maintain a safe, well-organized, and professional working environment.
Main Responsibility:
Administration & Office Management:
• Manage office supplies, uniforms, locker, PPE, and office equipment to ensure smooth daily operations.
• Prepare, manage, and maintain administrative documents, records, and filing systems.
• Support the organization of meetings, trainings, internal events such team building, year-end party, and visitor arrangements.
• Support book tickets and visa for employees and visitors as required.
General Affairs:
• Manage general affairs services such as security, cleaning, landscaping, canteen, and shuttle services (if applicable).
• Coordinate with vendors and service providers; monitor contracts and service level agreements (SLA).
• Manage administrative assets and conduct regular asset tracking and inventory.
Purchasing & Cost Control
• Prepare purchase requests, follow up purchase orders, and verify service or goods acceptance.
• Monitor administrative expenses, reconcile invoices, and process vendor payments in a timely manner.
HR & Operations Support:
• Support employee onboarding activities, including workstation setup, access cards, lockers, and uniforms/PPE.
• Coordinate with HR/Admin on personnel-related administrative procedures and internal support.
Compliance & Continuous Improvement
• Ensure compliance with company policies, internal regulations, and relevant legal requirements related to GA and Administration.
• Propose improvements to administrative processes to enhance efficiency and standardization.
• Perform other tasks as assigned by direct supervisor or management.
Yêu cầu công việc
Minimum Educational Attainment: Bachelor's degree in related field
Professional Qualification: The position requires a college or university degree in Administration, Business Management, Human Resources, or related fields, with at least 3–5 years of hands-on experience in General Affairs and Administration, preferably in a manufacturing or FDI environment. The candidate should possess solid knowledge of office operations, vendor and contract management, administrative cost control, and compliance with internal policies and relevant regulations. Proficiency in MS Office, basic to intermediate English communication skills, and a service-oriented, detail-focused mindset are essential.
Minimum Working Experience: 3-5 years' experience in related role
Skill Required:
• Good organization, communication, and coordination skills.
• Proficient in MS Office.
• Basic to intermediate English communication skills.
Language Required: Good English capabilities (oral, writing, reading)
Other Requirement: Ability to build rapport with employees and vendors
