HR Admin Executive

We are looking for an HRAD Executive who is ideally self-motivated with above 3 years’ experience to organize and coordinate office administration and procedures in order to ensure organizational effectiveness, efficiency and compliance. You will report directly to the HRAD Manager and Board of Directors; coordinate with multiple departments/stakeholders in the organization.
Responsibilities include but are not limited to:
• General operation
• Ensure office smooth operation:
• Office supplies, equipment purchase and maintenance, bills and errands
• Supply requisitions are reviewed and approved by BOD
• Manage contract and price negotiations with office vendors, service providers and office lease
• Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
• Planning and execution of equipment procurement, layouts and office systems
• Provide general support to visitors and employees, Guest welcome
• Travel arrangements: visa, TRC, work permit for expats; flight, hotel & transportation; travel document issuance
• Other administrative related tasks
• Have chance to do salary calculation, payroll, social Insurance, labor report and relates
• HRAD documents handling; ensure employees’ documents, contracts, decisions, etc. to be organized, file properly.
• Participate actively in the planning and execution of team building and company events.
• Maintain a safe and secure working environment.

REQUIREMENTS:
• Min 3 years of proven office management, HRAD experience
• Knowledge of office management responsibilities, systems and procedures
• Excellent time management skills, multi-task handling and work prioritizing as well as organizational and planning skills
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Proficient in Microsoft 365, Google service (Office, drive/cloud, etc) not required but will be good if the candidate is familiar with Slacks or quick adapt to technology tools
• Honest, organized and a team player.
• Fluent and confident in English.
• Flexible and adaptable to task change or multiple task environment
