The Senior Manager of Human Resources & Administration is responsible for leading and overseeing all aspects of the HR and Admin-GA Division of the company. This role plays a strategic and operational leadership function, covering key HR domains such as Talent Acquisition, Total Rewards, Performance Management, Labor Relations, Learning & Development, and Succession Planning. On the administrative side, the role encompasses the overall management of office and facilities, documentation, and general affairs.
The ideal candidate is a seasoned generalist with deep expertise across both HR and Administration disciplines, capable of driving organizational effectiveness, ensuring compliance, and fostering a high-performance culture. This position also serves as a key liaison with regional and global headquarters (SEOHQ and JPHQ) for all HR and Admin-GA related matters in Vietnam.
► Human Resources (70%):
- Evaluate and enhance HR policies, processes, and practices to ensure alignment with business strategy and compliance with legal requirements.
- Develop and implement strategic HR initiatives including but not limited to total rewards, workforce planning, talent acquisition, performance management, and succession planning.
- Lead the Succession Planning project, including identifying key roles, assessing talent readiness, and developing career paths to ensure leadership continuity and organizational resilience.
- Partner with internal and external stakeholders to analyze HR metrics and trends, proposing data-driven solutions and improvements.
- Provide expert guidance on HR policies, labor laws, and employee relations.
- Lead the design and execution of Learning & Development programs to build organizational capabilities and support career growth.
- Manage the annual HR budget, ensuring cost-effectiveness and alignment with strategic priorities.
- Drive employee engagement initiatives and foster a positive workplace culture aligned with company values.
- Ensure consistent and fair application of disciplinary actions, rewards, and recognition programs.
- Oversee recruitment and performance evaluation of HR team members.
- Ensure compliance with company Code of Conduct, ISO standards, and relevant legal frameworks.
- Administer and continuously improve the HRIS (Human Resources Information System) to ensure data accuracy, process automation, and reporting efficiency.
- Act as a strategic HR business partner to department heads, aligning people’s strategies with business objectives.
- Lead change management initiatives related to organizational restructuring, digital transformation, and cultural alignment.
- Champion digital transformation in HR, including automation, data analytics, and system integration.
- Ensure risk management and compliance in HR operations, including data privacy, labor law adherence, and internal audits.
- Prepare and present regular HR reports to senior management.
► Administration & GA (30%):
- Oversee all administrative and general affairs functions to ensure smooth daily operations.
- Review and update administrative policies and guidelines to improve efficiency and compliance.
- Manage company assets, including acquisition, disposal, and inventory control.
- Supervise office supply procurement and distribution (stationery, equipment, uniforms, etc.).
- Handle legal documentation for expatriates and foreign employees (Visa, Work Permit, Residence Card).
- Manage company legal documents (licenses, certificates, contracts) and ensure timely renewals.
- Issue internal communications (memos, notices, letters) related to administrative matters.
- Coordinate corporate insurance programs (property, liability, healthcare, personal accident).
- Organize periodic health checks and wellness programs for employees.
- Lead planning and execution of company events (team outings, year-end parties, etc.).
- Monitor and ensure compliance with HSE (Health, Safety & Environment) standards.
- Recruit, set KPIs/objectives, and evaluate performance of Admin team members.
- Conduct budget planning and analysis for administrative functions.
- Act as the primary liaison with SEOHQ (Southeast & Oceania Headquarter) and JPHQ (Japan Headquarter) for all HR and Admin-GA related matters in Vietnam, ensuring timely communication, alignment with regional/global policies, and smooth execution of cross-border initiatives.
- Ensure risk management and compliance in Admin-GA operations, including legal documentation, workplace safety, and internal controls.
- Champion digital transformation in Admin-GA, including systemization of asset tracking, document management, and operational workflows.
Yêu cầu công việc
► Education and Experience:
- Bachelor’s degree or higher in Human Resources, Business Administration, or related field.
- 10+ years of progressive experience in HR and Administration, with at least 5 years in a managerial role. Knowledge of Logistics Industry is an advantage.
- Strong knowledge of labor laws, HR best practices, and administrative operations.
► Required Skills/Abilities:
- Proven leadership, strategic thinking, and stakeholder management skills.
- Excellent communication, problem-solving, and interpersonal abilities.
- Experience working in multinational or matrix organizations is a plus.
- Proficiency in English and Vietnamese.
► Working conditions and benefits:
- Working Place: Bluesky Office, 01 Bach Dang, Tan Son Hoa Ward (formerly Ward 2, Tan Binh District), HCMC
- Working time: 8:00 – 17:35 Monday - Friday (Closed Saturday & Sunday)
- Annual Leave: 12 days/year (after probation time)
- Net salary: Negotiable (13 months a year plus Tet bonus & Annual performance bonus)
- Annual Salary Increase: once per year
- Performance Assessment: twice per year (fixed in April and October)
- Insurance: 24 hours’ Accident Insurance, Social Insurance, Health Care Insurance
