Role Overview: The HR and Admin will be responsible for overseeing various human resources and administrative functions within the organization. This role involves managing recruitment, onboarding, offboarding, employee data management, engagement activities, payment and petty cash management, bank transactions, reporting, and general administrative tasks. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask effectively.
* Responsibilities:
1. Recruitment:
• Manage the end-to-end recruiting process, including sourcing, screening, interviewing, and selecting candidates.
• Ensure a positive candidate experience throughout the recruitment process.
2. Onboarding & Offboarding:
• Facilitate the onboarding process for new hires, including orientation and training.
• Coordinate offboarding activities, including exit interviews and necessary paperwork.
3. Employee Data Management:
• Maintain accurate employee records, both hard copy and electronic, ensuring timely updates and corrections.
• Manage employee annual leave records and coordinate with HR service agencies to ensure compliance with Compensation & Benefits (C&B) policies.
• Prepare and submit reports to government authorities with precise and timely data.
4. Employee Engagement:
• Organize engagement activities and events in collaboration with the labor union to foster a positive work environment and enhance employee morale.
5. Payment and Petty Cash Management:
• Provide guidelines for expense claims, ensuring budget compliance and obtaining necessary approvals.
• Manage payment transactions and petty cash, ensuring accurate recording and timely closure of journals in the Navision system.
• Coordinate the scanning and sending of payment vouchers to headquarters for validation.
6. Bank Transactions:
• Liaise with banks for all payment transactions, including expense and salary payments, with approval from the Director.
• Ensure accurate and error-free bank transactions, including invoice collection for accounting records.
7. Monthly and Periodic Reporting:
• Prepare and submit monthly and periodic reports according to established timelines, ensuring accuracy and completeness.
8. Administrative Tasks:
• Provide administrative support to colleagues as needed.
• Manage office supplies, pantry items, and workspace amenities to maintain a conducive working environment.
• Arrange transportation and handle paperwork for expatriate staff.
• Coordinate with IT agencies to resolve IT-related issues.
• Perform other administrative tasks as assigned by the HR & Admin Manager.
9. Other Duties:
• Undertake additional tasks as assigned by the HR & Admin Manager as needed.
Yêu cầu công việc
• Bachelor's degree in Human Resources, Business Administration, or related field.
• Proficiency in English (both written and spoken) is mandatory
• Proven experience in HR and administrative roles (at least 3 years of experience).
• Strong understanding of HR practices and employment laws.
• Excellent communication and interpersonal skills.
• Proficiency in MS Office.
• Ability to handle sensitive information with confidentiality.
• Attention to detail and strong organizational skills
