RMIT Vietnam, an entity of RMIT University, has campuses in Ho Chi Minh City and Hanoi since 2001. We provide internationally recognised, high-quality, education and professional training for students, clients and the community, and assist in the development of human resources capability in Vietnam and the region by hosting students from Australia and many other countries.
HUMAN RESOURCES
Our Human Resources department consists of a team of strategic HR professionals providing client focused, proactive and effective solutions and services for all RMIT Vietnam staff.
Our success is achieved by understanding our business and operating as a business partner to our clients. We deliver responsive, innovative and practical solutions and services. The HR team operates in a manner that supports the RMIT values and achievement of the business objectives. By providing tailored, quality human resources services and products and ensuring a high level of expert support and advice, the HR team enhances the ability of our stakeholders to meet their business objectives. This, in turn, enables University staff to better support the current and future student population at the University. The team shares insights with peers and management and our positive team culture relies on open communication, encouragement, recognition and continuous improvement, to work together and get things done.
YOUR ROLE
The position is primarily responsible for the delivery of “front office” services to HR’s internal customers who are RMIT Vietnam staff, and handling enquiries from the general public. As the nominated “first point of contact”, the incumbent must be able to:
Provide routine advice, guidance and explanation of RMIT Vietnam HR policies, procedures and processes to all staff, both local and expatriate.
Direct more complex issues to the relevant HR team member and follow through to ensure that queries are addressed in a timely and appropriate manner, ensuring optimum employee experience throughout.

KEY ACCOUNTIBILITIES
Front desk
Provide support to all walk-in customers, phone calls and email enquiries, discussing their needs and identifying appropriate services and information, referring them to the relevant HR staff members as appropriate; following up to ensure the issues have been addressed.
Provide general advice regarding HR policies, procedures and services verbally and via e-mail.
Manage ServiceNow (HR Ticketing system) to assign/refer tickets to the team member-in-charge, follow up with them to make sure the tickets are resolved.
Assist with updating staff information in the human resources information system (Workday).
Monitor the Staff Concerns Log, coordinate with relevant HRBPs for appropriate course of actions ensuring timely feedback to staff.
Other related duties as required.
Ad-hoc projects
+ Support HR team in ad-hoc operational projects. More specifically:
Provide proactive and timely project support and coordination to all members of the projects team.
Organise and coordinate meetings and events for the projects team, including venue and catering arrangements, speaker and attendee liaison, preparation and distribution of papers/materials.
Coordinate the dissemination and communication activities of projects to ensure all project news including progress updates and outcomes are shared with relevant stakeholders.
Undertake other support tasks as required by the projects manager(s).
+ General support:
Effectively organise documents for signatures, stamps, and filing for HR team.
Coordinate with Academic Registrar’s Group to finalise public holiday list for RMIT Vietnam and communicate it with relevant team members in HR and the Workday architect for their further action in their areas.
Support other team members in particular assigned tasks/ activities.
Provide backup support for other team members when required.
