Job description
Principal Accountabilities
1. Foreign Affairs:
First line of communication for expatriates regarding to HR issues
Follow procedures related to administrative affairs of expatriates in lines with school policies, including:
• Apply entry visa, work permit (WP), and driving license exchange for new staff or renewal/extension of visa, residence card, WP…
• Assist foreign staff in preparing necessary documents for the shipping clearance
• Prepare insurance list for approval and liaise with insurance broker to issue insurance card
• Register or renew health club membership
• Assist expatriates with medical insurance claims, open and close bank account
• Communicate with payroll HR officer for any deduction of personal expense that school has paid for in advance
• Follow up on any outstanding amounts from insurance company to make sure there is no balance before the school end.
• Assist leaving staff to obtain police clearance record (PCR)
• In charge of accommodations, phones and related issues for expatriates
Maintenance of the HR database/administrative files including gathering labor contracts, documents, information of passport, visa, qualification….
Coordinate with expatriates for their lease or termination of lease.
Prepare monthly report of oversea staff
Back up within the team in recruitment, compensation and benefits, …
Perform other duties given by HR Manager or Principal
2. Compensation & Benefits:
Provide payroll related instructions to the C & B Officer
Monthly cross check and make sure the accuracy of the payroll, especially for the expatriates
Analysis of salary, headcount, holidays and absences, with monthly reporting to HRM
3. Training & Development
Support the performance review process and follow-up on performance issues and implementation of individual plan if required
4. Human Resource Information Systems
Implement and maintain employee management systems: SuccessFactors, Sphera and others when required
Data analytics and creation of reports as required
Coordinate and implement NAE HR projects
5. Legal & Administration
Ensure all administrative tasks assigned are handled in a timely manner
Follow up with criminal background check processes
Ensure legal compliance on all employment matters
Job requirements
Local Vietnamese
Degree/Diploma in human resources management, business administration, English, Accounting.
At least 2 year’s relevant experience in expat affairs, in education is preferred
Knowledgeable in labour law and relevant legal documents, especially relating to expatriates.
Ability to maintain strict confidentiality of staff and organization records
Detailed, well-organized and able to work independently to meet deadlines.
Excellent communication and interpersonal skills
Fluent written and spoken English and good command of computer skills
