The Import/Export Office Manager will be responsible for ensuring the efficient and smooth day-today
operation of the office, supporting administrative, human resources and operational functions to
maintain a productive and organized work environment. The Import/Export responsibilities include
managing the flow of goods into and out of the country, ensuring compliance with regulations, and
coordinating with various stakeholders. This role requires strong organizational skills, excellent
communication, and the ability to manage and prioritize various administrative tasks.
Main Responsibilities:
- Manage daily operations as the primary contact for the location, maintaining the office facilities and working with the main office in the United States.
- Preparing documentation, handling customs declarations, coordinating with freight forwarders and carriers, and ensuring timely and accurate shipments.
- Assist with material and vendor qualifications including strategic sourcing
- Assist with the recruitment and onboarding of new hires.
- Handle petty cash, office expenses, manage the office budget and be the liaison to Accounting company for all office finances.
- Ensure adherence to company policies and regulations, including the contact for Human Resources activities.
- Manage vendor relationships and negotiate contracts.
- Prepare reports on shipping, delivery times and other relevant data, analyzing trends and improving efficiency.
- Oversee project progress and provide direction on employee bandwidth.
- Interface with Rival Vietnam factory and other suppliers in Vietnam and surrounding countries.
- Identify and resolve issues that arise in both the day-to -day operation as well as the office environment.
- Assist with Quality Corrective Actions and ensure they are addressed in a timely and effective manner
- Dotted line or direct reports of both engineering and quality reporting
- Assist with or oversee quality data collection
- Assist in the developing and capturing of KPIs
- Assist with first article inspections on an as-needed basis.
- Troubleshoot issues as they arise
Yêu cầu công việc
Qualifications:
- 7+ years of experience in office management including accounting and human resources responsibilities.
- Degree in Business or related field.
- 5+ years of experience preparing and reviewing export documentation including invoices, packing lists, bills of lading, and customs declaration forms to ensure compliance with international shipping regulations and Vietnamese customs requirements.
- Previous leadership experience in a trading company preferred
- Strong and clear communication in English, both verbal and written, is required
- Good interpersonal and communications skills with international team members
- Ability to work independently and hold others accountable, meeting deadlines and prioritizing tasks.
- Knowledge of Vietnamese labor laws and regulations is beneficial.
- Strong analytical and problem solving skills
- Textile industry knowledge preferred
- Experience in Quality Systems
- Strong organizational skills with proficiency in office software.
