Marketing Operation Specialist (Outsource)

- Manage end-to-end processes including budget proposals, bidding, contracts/appendices, acceptance, and payment procedures.

- Review contract templates to ensure accuracy and compliance before signing. Verify payment documents, supporting materials, and customer information. Conduct acceptance procedures, scan, and archive relevant documents.

- Monitor and ensure timely payments to vendors and service providers.

- Update actual expenses on a monthly, quarterly, and yearly basis.

- Prepare progress reports for project managers and clients. Handle arising issues during project execution.

- Maintain and manage the supplier database: evaluate capabilities, collect quotations, and ensure compliance with internal regulations.

- Ensure adherence to internal procedures of the Digital Marketing department and company-wide processes.

- Comply with issued ISO documentation: implement and follow relevant ISO procedures; actively contribute feedback to the development of ISO documents related to assigned tasks.

- Perform other duties as assigned by direct managers, in line with the scope of responsibilities.

- Graduated from College/University, preferably with a major in Business Administration or Marketing.

- Male/Female, aged between 22 – 35 years old.

- Experience in retail, media, marketing, or in Marketing Operations at agencies or companies with large marketing budgets.

- Proficient in office computer skills (Excel, Word, Outlook).

- Strong professional communication skills (verbal and written), with the ability to present well and convey complex information to various audiences to achieve consensus.

- Able to multitask, honest, responsible, and detail-oriented.

- Capable of synthesizing information and preparing reports.

- Strong analytical thinking with the ability to make recommendations and propose improvements; problem-solving skills.

- Able to work independently and in a team environment.
