Office Admin Manager in HCMC Office

Job purpose:
• Be responsible for overseeing day-to-day administrative operations of the office, providing prompt supports and solutions to office matters.
• Proactively ensure that the office runs efficiently and effectively.
• Leverage influencing skills to harmonize stakeholders’ agenda to resolve conflicts and drive operations excellence
Office management:
• Oversee daily operations of the office, ensure a clean, organized and safe working environment.
• Coordinate and plan office events, meetings, and employee activities or special projects, as required.
• Manage HSE matters of HCMC office, including compliance reports.
• Develop and implement office policies and procedures to improve efficiency and ensure compliance with the Firm standards.
• Conduct regular reviews and updates of administrative processes.
• Be in charge for carrying out procedures for licensing and statutory procedures in accordance with Vietnam Law (ex. Fire prevention, etc.).
• Supervise, guide, lead and evaluate performance for administrative staffs, cleaners, security guards and admin/ driver contractor.
Office supply:
• Serve as the point of contact for facility management, vendors, and service providers.
• Manage office supplies, inventory and timely replenishment as required.
• Monitoring records, information and documentation provided by vendors and service providers for payment purpose.
• Monitoring internal reports as required.
• Build annual cost plan and monitor effectively and efficiently office administrative expenditures under supervision of Procurement Partner.
• Manage expatriate matters such as visa, hotel and flight booking when required.
Office depository:
• Supervise the process of company stamps for all legal entities.
• Supervise the company’s filling process in compliance with the procedures set by the Firm.
Yêu cầu công việc
Required experiences:
• Bachelor’s degree in Business Administration, Secretary or related field.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
• At least 10 years of experiences in relevant field and 2 years in admin management position in MNCs.
• Experience in handling a wide range of administrative and executive support tasks.
• Strong organizational and time management skills with the ability to prioritize tasks.
• Excellent verbal and written communication skills in English & Vietnamese.
• Ability to work independently and as part of a team.
• Proven problem-solving skills and the ability to think critically.
• Having project management skill.
