Job Description

Summary of Functions:
 To be the first point of contact for all enquiries and assistance
 Provide secretarial and administrative functions to the General Director and the Board of Directors
 Create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety

Responsibilities and Duties:
 Oversee and support all administrative duties in the office and ensure that office is operating on a day-to-day basic smoothly
 Manage office supplies inventory and place orders as necessary
 Developing clear office policies, procedures and ensure and ensure they are implemented appropriately
 Oversee the recruitment of new staff including training and induction
 Carry out staff appraisals and discipline staff
 Resolving conflicts through positive and professional mediation.
 Monitoring the implementation of labor contracts, labor laws as well as policies related to employees
 Management office and human resource operation budget; support accountant in preparing an annual budget and scheduling expenditures
 Identify opportunities for process and office management improvements, and design and implement new systems
 Maintain databases ensure security of data
 Prepare and submit fee proposal for projects
 Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends
 Other tasks assigned by Director

Job Requirements

Qualifications & requirements:
 Bachelor’s degree in human resources management or equivalent
 Minimum 5-years experience in office management/ human resources or related field
 Good knowledge of labor laws and regulations
 Good management, communication and strong problem-solving skills
 Ability to negotiate well with employees
 Excellent in English (both verbal and written skill)
 Excellent time management skills and ability to multi-task and prioritise work
