❖ The main responsibilities of the Office Management position include managing the General Affairs activities of the office. Since the company is currently planning to relocate the office, we need a candidate with strong experience in Office Renovations/Office Moving who can work well with vendors for the office construction project.
❖ In addition to working with external vendors, the person in charge of this role must also work directly with internal stakeholders to ensure that all aspects related to the office relocation are safe, compliant with regulations, and communicated promptly.
1. Office Relocation Planning:
o Assist in the planning and coordination of office relocation projects, including site assessments, space planning, and layout design.
o Collaborate with internal stakeholders to understand requirements and ensure a seamless transition.
o Manage timelines, budgets, and resources to ensure relocation projects are completed on time and within budget. o Support defining and managing the budget with Finance and conduct all activities with financial awareness, and where relevant make recommendations for improvements and changes.
o Periodic Evaluation: Conduct regular evaluations to ensure the project is on track and meets quality standards.
o Identify and communicate any project risk.
2. Vendor and Contractor Management:
o Work closely with Procurement to identify, evaluate, and manage vendors/contractors for relocation projects.
o Oversee the procurement of furniture, equipment, and other necessary items for the new office space.
3. Facility Operations Support:
o Ensure the day-to-day facility operations are maintained during the relocation process.
o Address any issues related to utilities, security, and maintenance in the new office space.
4. Communication and Coordination:
o Act as a point of contact for all relocation-related inquiries from employees and stakeholders (IT, Procurement, Finance...)
o Provide regular reports on progress and escalating issues as required to the Management and related stakeholders
o Provide regular updates on project progress and address any concerns or issues.
o Manage well communication channels internally to ensure the office moving in time and sufficiently.
5. Compliance and Safety:
o Ensure all relocation activities comply with relevant regulations, safety standards, and company policies.
o Conduct risk assessments and implement measures to mitigate potential issues.
Yêu cầu công việc
• Bachelor's degree in Facilities Management, Real Estate, Business Administration, or a related field.
• Minimum of 6 years of experience in facility management, with at least 2 year focused on office relocation projects.
• Strong organizational and project management skills, Familiarity with construction laws and the regulations of office building complexes will be the plus
• Knowledge of technical practices and programs used in the reduction of workplace hazards
• Knowledge of worker safety regulations
• Time management, problem-solving skills, and knowledge of construction processes.
• Strong leadership and ability to inspire people
• Excellent communication and interpersonal skills.
• Demonstrate resilience amid challenges
