I/ JOB OBJECTIVE: To assist Manager in related ADM & HR matters of the company.
II/ DUTIES & RESPONSIBILITIES:
A/ ADMINISTRATION
- Support purchasing supervisor in purchasing needed items, if requested;
- Maintain employee records, personal files, update database and personal files;
- Keep track on personal data protection related matters;
- In charge of business trip arrangement (ticketing, accommodations…);
- Organize activities: party, outing trips, teambuilding, charity, medical check up;
- Liaise with vendor to purchase uniform for employees annually;
- Buy, support to claim, answer queries of employees regarding Private Health & Accident Insurance;
- Assist tasks of applying for Work Permit, Visa, Temporary Resident Card;
- Assist tasks related to company’s IRC, ERC;
- Manage operation of company cars and drivers;
B/ HUMAN RESOURCES
- Time attendance record and timesheet for payroll;
- Tax code declaration and related issues;
- Recruitment posting & screening;
- Liaise with training agency to select an appropriate course for employees, if requested;
- Conduct orientation training for new comers;
- Assist exchange trips;
- Record employee's annual leave, sick leave, leave without pay...;
- Labor reports;
- SI reports/claims;
- Follow up other tasks assigned by the Manager (if any).
III/ GENERAL WORK STANDARDS:
- Recruitment and training activities must be complied with company policy and procedures;
- All employee profiles are filed, updated and managed in compliance with company principles; personal data must be strictly protected;
- All company engaged activities are periodically performed;
- All HR reports and plans, purchasing, driving activities are implemented in accuracy and timely manner.
IV/ INTERNAL ACTIVITIES/EXTERNAL ACTIVITIES:
1/ Internal:
- Coordinate to related employees and HODs to implement assignments in compliance with company policies and procedures.
2/ External:
- Liaise with related agencies, authorities to handle assigned tasks.
V/ POWERS:
- Receive, categorize information and report to Manager/answer concerned employees;
- Request employees to strictly comply with daily attendance check in/out or business/exchange trip;
- Require coordination/support from other departments if any;
- Suggest/propose new policies/items to have high quality job;
- Use designated budget for HR-ADM activities.

VI/ QUALIFICATIONS AND SKILLS:
1/ Qualifications:
- University bachelor’s degree or above;
- Deeply understand laws on labor/social insurance, other relevant laws and regulations.
2/ Experience:
- At least 01 years of experience;
- Have serviced-orientation knowledge.
3/ Skills:
- Be fluent in English; Japanese is a plus;
- Have good & persuasive interaction and communication skills;
- Have event organization skills;
- Good skills at using Microsoft office (Word, Excel, Ppt).
4/ Personalities:
- Be honest;
- Detailed oriented;
- Be active at work;
- Work as a team with other staffs;
- Work well under pressure.
