Operation & Customer Service Staff Hai Phong City

• Handle rail freight and sea freight/air freight/trucking export/import shipments from/to Vietnam in full compliance with external regulations, carrier requirements, and internal SOPs.

• Receive booking requests and shipment information from Customers, Overseas Agents, and the Sales Team; arrange bookings with Rail Operators, Carriers, Co-loaders, and relevant partners.

• Prepare, check, and issue all related documents such as Bill of Lading, Rail Waybill, AMS/ISF filing, Pre-alert, E-manifest, Arrival Notice, D/O release, and other operational documents.

• Coordinate closely with rail operators, carriers, overseas agents, and local vendors to monitor shipment status, ensure smooth operations, and promptly address any irregularities.

• Track transportation progress, update milestones, and proactively solve operational issues to ensure service quality.

• Issue Debit Notes to customers/overseas agents and process payments to carriers, rail operators, and vendors in a timely manner.

• Maintain accurate and updated data entry in GoFreight and other internal systems.

• Communicate professionally with customers, carriers, rail operators, and overseas partners to resolve issues and provide optimal service.

• Report any operational irregularities or risks to the Manager immediately and follow up on the corrective process.

• Perform additional tasks as assigned by the Manager.

• Minimum 3–5 years of experience in freight forwarding, preferably in rail freight and sea freight operations.

• Familiarity with GoFreight or similar logistics systems is an advantage.

• Strong operational knowledge in rail freight, sea freight, air freight, trucking, and cross-border logistics.

• Good English reading and writing skills; Chinese language proficiency is a strong advantage due to frequent communication with regional partners.

• Ability to work independently and in a team, with strong problem-solving and coordination skills.

• High attention to detail, responsibility, and strong customer-service mindset.

• Capable of working under high pressure, multitasking, and managing daily deadlines.

• Flexible, diplomatic, and professional in communication and issue handling.
