Operations Cum Program Coordinator

Rise Alliance for Children Vietnam (formerly WWO) is a US-based not-for-profit organization working in Vietnam since 2005. The global mission of Rise is to create safe and nurturing environments where every child can play, learn and thrive. We are currently seeking a qualified and motivated person, Vietnamese nationality, to work in our office Ho Chi Minh City in the position of Operations cum Program Coordinator.

* Job Summary:

To develop and manage an effective operations system cum program coordinator for Rise in Vietnam, internally and externally.

* Job description: Main tasks, responsibilities and time allocation (%)

I) Operation Coordination: 50%

1.1 Information and Database management

• Developing and management of databases of potential donors, technical networks,

consultants.

• Management of beneficiaries database if time allows.

1.2 Maintenance and Backup

• Install filing system on the Rise’s materials and manage access to data.

• Install backup system and ensure that backup functions well

• Maintain office equipment on a regular basis (in rotation or in agreement with individual

staff member

• Perform minor repair for IT equipment when possible, or contact external IT service for

repair job

• Follow up all equipment status in office and suggest upgrading or replacing if needed.

1.3 Communications:

• Organize special events e.g. seminars, workshops, retreats

• Manage and update the Rise network database

• Support Country Director in receiving visitors (national and international)

• Coordinate with the program teams to support them in designing PR materials for their

work, e.g. video clips, photos, brochures.

• Any other tasks assigned by Country Director

II) Program Coordination: 50%

2.1 Project management

• Manage and coordinate throughout the project cycle to attain goals and objectives by

participating in project design planning, budgeting, implementation, monitoring, and

reporting for assigned project sites

2.2 Technical Assistance

• Provide technical support to partners on the site-based project.

• Organize and join the training involved for partners.

• Review and redesign intervention in consultation with partners and in response to

evolving needs of groups

2.3 Financial Management

• Ensure compliance with financial regulations (by donors and WWO global standards) and

participate in the controlling of the appropriateness and compliance of the project

operations, narrative workplan, and budgets.

• Support Finances in payments procedure (verification, follow up)

Qualifications:

• Bachelor's degree involves child development, child education, or a related field with experience working with children.

• At least two years of experience, preferably in the education or NGO sector.

• Strong organizational skills, effective public communication, and interpersonal skills.

• Ability to plan, organize, and implement daily, weekly, and special programs.

• Capable of working independently as well as collaborating within a team, with demonstrated skills in team building and conflict resolution.

• Ability to work with minimal supervision, exercise sound judgment, meet deadlines, and perform well under pressure.

• Proficient in managing multiple tasks effectively and efficiently.

• Fluency in English (IELTS 6 or equivalent) and Vietnamese.

• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiar with graphics, database management, and internet research.

• Honest, detail-oriented, transparent, and responsible.

• Possesses ethical and critical thinking skills.
