Personal Assistant to General Manager

Position Overview:
We are looking for a highly organized and proactive Personal Assistant to support our General Manager. This role involves managing administrative tasks, supporting communication across teams, and assisting with translation and documentation. The ideal candidate will streamline the GM’s daily activities, facilitate effective communication, and ensure smooth office operations.
Key Responsibilities:
• Administrative Support: Manage and prioritize the GM’s calendar, scheduling meetings, appointments, and events with materials prepared in advance.
• Communication Management: Handle calls, emails, and correspondence on behalf of the GM. Draft, translate, and proofread documents and presentations in both English and Vietnamese.
• Translation & Summarization: Provide translation services in English and Vietnamese, and assist with meeting summaries and report preparation.
• Coordination: Organize meetings, both internally and externally, including taking minutes, following up on action items, and liaising with other departments.
• Travel Arrangements: Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries.
• Back-Office Support: Assist with general office administration, document filing, database maintenance, and other back-office tasks as needed.
• Confidentiality Management: Handle sensitive information with discretion and maintain confidentiality at all times.

Skills and Qualifications:
• Proven experience as a Personal Assistant or in a similar administrative role.
• Perfect proficiency in English and Vietnamese, with strong translation and summarization skills.
• Excellent written and verbal communication skills.
• Strong organizational and multitasking skills.
• Proficiency in Microsoft Office Suite and office management tools.
• High level of discretion and confidentiality.
• Ability to work effectively under pressure and adapt to changing priorities.
Preferred Qualifications:
• Bachelor’s degree in Business Administration.
• Knowledge of project management tools.
• Outgoing and confident, comfortable speaking up in group discussions
• Proficiency in scheduling and travel planning platforms.
