Project Management Specialist (Planning & Scheduling) - Working in Hanoi

I. Job Purpose

• Provide support in coordinating and monitoring project implementation; ensuring compliance with schedule, quality, cost, and legal requirements.

• Work closely with internal departments, consultants, and contractors to carry out assigned project tasks.

• Prepare documentation, reports, and project-related records as required by project managers.

II. Key Responsibilities

1. Progress Monitoring & Reporting

• Track and update project progress, work volume, and quality based on approved plans.

• Prepare periodic and ad-hoc reports for the Project Manager/Team Lead.

• Identify potential risks and propose preliminary mitigation options.

2. Contract & Documentation Support

• Assist in preparing and checking payment documents, acceptance records, and other technical documentation.

• Monitor contract performance of consultants/contractors and record issues arising during implementation.

• Draft correspondence and technical documents for communication with stakeholders.

3. Stakeholder Coordination

• Support coordination with government authorities, consultants, contractors, and internal departments under the guidance of senior managers.

• Participate in technical meetings, site inspections, acceptance activities, and handover processes; prepare meeting minutes and consolidated reports.

4. Data & Standards Management

• Update project information into PMIS/ERP, Primavera P6, MS Project, or other systems as required.

• Ensure compliance with project procedures, technical standards, and legal regulations.

5. Other Duties: Perform additional tasks assigned by the Project Manager/Team Lead to support overall project execution.

III. Job Requirements

1. Education

• Bachelor’s degree in Civil Engineering, Construction Management, Transportation Engineering, Project Management, or related fields.

• Professional certifications such as PMP/PMI-RMP/FIDIC are preferred but not mandatory.

2. Experience

• Minimum 3–5 years of experience in project management within construction or infrastructure sectors.

• Preferred experience in transportation, rail/metro, EPC projects, or working with international consultants.

3. Technical Skills

• Proficient in Primavera P6 or MS Project.

• Solid understanding of project scheduling, contract administration, quantity/payment procedures.

• Basic knowledge of Vietnamese construction laws and technical standards.

• Knowledge of QA/QC and HSE practices is an advantage.

4. Core Competencies

• Strong teamwork and communication skills across diverse stakeholders.

• Detail-oriented, analytical mindset, and high sense of responsibility.

• Problem-solving ability and adaptability in a fast-paced project environment.

5. Languages

• English: proficient in reading technical documents and daily communication.

• Additional foreign languages are a plus.
