Key Responsibilities:
• Serve at the reception desk: greet visitors, identify their purpose of visit, and direct them to the appropriate personnel.
• Provide accurate and timely translation of documents; support general administrative tasks as assigned.
• Manage incoming/outgoing keys, mail, courier packages, facsimiles, messages, and verify related bills/invoices.
• Handle payments for office-related expenses such as office rent, utilities, mobile phone cards, telephone bills, courier services, taxi services, food & beverages, etc.
• Arrange business travel for employees including air ticket booking and company car scheduling.
• Manage office supplies: monitor inventory levels, place purchase orders, and distribute items as required.
• Coordinate messenger team to ensure timely and accurate delivery services.
• Coordinate the cleaning team to maintain cleanliness of meeting rooms, reception area, and common areas.
• Calculate monthly overtime payments for cleaners and messenger staff.
• Monitor and manage contracts under Administration Department; ensure timely renewal prior to expiration.
• Arrange and prepare meeting rooms: ensure cleanliness, proper setup, and functionality of equipment.
• Monitor office facilities and promptly report maintenance issues to the Administration Manager.
• Perform other duties as assigned by the Administration Manager
Yêu cầu công việc
• College or University degree.
• Minimum of two (2) years of experience in a similar role, preferably in a corporate environment.
• Good command of English (listening, speaking, reading, and writing).
• Proficient in MS Office applications (Word, Excel, PowerPoint).
• Well-organized, detail-oriented, accurate, reliable, and cooperative.
• Possess good customer service, communication, and problem-solving skills.
• Professional appearance with daily make-up and neat grooming.
