- Summarize the main purpose of the role in 3-5 statements.
- Be responsible for receiving guests in the company and inform to related staff. Direct or escort guest to specific destinations
- Operate telephone lines to receive incoming messages, screen, and transfer calls. Ensure prompt and professional phone transfer / answer.
- Receive incoming documents and transfer them to Departments
- Manage and keep letter-in & letter-out, fax-in & fax-out, contracts, memos,…
- Do other tasks assigned by Administration Team Leader and BOD.
* MAIN RESPONSIBILITIES:
- Receive and transfer telephone call, take messages. Handle in/out business mailings/packages as per guideline process.
- Receive incoming documents and transfer them to Departments. Send documents / goods by delivery express service.
- Greet clients and visitors with a positive, helpful attitude.
- In charge of internal meeting rooms online reservation.
- Coordinate with office rental in register moving in/out, office fixing, etc.
- In charge of office use pre-printed forms, business cards.
- Manage and order office stationeries; office décor & supplies, pantry supplies; and finger food.
- Help maintain workplace security by issuing, checking and collecting badges as necessary and maintaining visitor logs.
- Closely work with security to ensure the physical security at front office. Maintain the office condition and arrange necessary repairs and report for line manager.
- Photocopy documents for departments.
- Perform ad-hoc administrative duties.
- Manage other tasks assigned by immediate supervisor as required.

• Prior experience as a receptionist or equivalent
• Experience with administrative and clerical procedures
