About us: We are a small but rapidly growing company specializing in high-end aluminium manufacturing for customers in the nuclear, aerospace, automotive, and architectural industries. Headquartered in Vietnam, we are expanding our operations globally, offering dynamic career opportunities for those eager to grow with us.
Job Summary: The Sales Admin will play a crucial role in supporting our sales team by managing customer communications, preparing proposals, creating engaging presentations, and coordinating with various departments to ensure timely and accurate quotations.
Key Responsibilities:
1. International Sales Support and Communication
• Inquiry Handling: Receive, categorize, and respond to emails and phone calls from foreign customers (Europe, US). Fluent English communication is mandatory to clarify requirements regarding machining, materials, tolerances, and technical standards.
• Quotation Coordination: Coordinate closely with the Engineering and Production Departments to gather information on costs and lead times. Prepare professional Quotations and Sales Orders in English, adhering to international standards.
• Contract/Order Management: Monitor and update order status from confirmation to delivery, ensuring compliance with the terms and conditions agreed upon with international clients.
• Sales Team Assistance: Prepare essential sales documents, company profiles, and offer samples for the Sales Team for international business trips or exhibitions.
2. Administrative Support:
• Customer Relationship Management (CRM): Update customer information, transaction history, feedback, and related documents within the CRM system.
• Record Keeping: Organize and manage all documents, contracts, quotations, and invoices related to export and sales activities.
• Reporting: Compile weekly/monthly/quarterly sales data (revenue, order volume, market performance, etc.) and prepare management reports in English for the Board of Directors.
3. Flexible Working Hours:
• Be available to work flexible hours, including some evenings, to accommodate customers in the US timezone.

• Proven experience in a sales support or administrative role.
• Excellent communication and interpersonal skills.
• Excellent English
• Proficiency in Microsoft Office Suite, especially PowerPoint and Excel.
• Strong organizational skills and attention to detail.
• Ability to work independently and as part of a team.
• Knowledge in the metal bending/machinery industry is a plus.
