Senior Admin Executive

Job Summary:
Provide a broad range of administrative services, leveraging extensive business
unit knowledge to support the business units’ growth, GMA group’s programs
and facilitate the delivery of HRA operations.
Main Responsibilities & Duties:
A. Administrative Function
1. Manage communication both internally and externally on company notices and employer
branding related, issue documents, manage official soft and hard documents
2. Monitor admin budget and cost efficiency, including procurement of office equipment and
services, business trips arrangement, and others as assigned
3. Manage meeting schedules of the Board of Directors/ Management, attend meetings and
record meeting minutes and translation, and monitor tasks/directions
4. Liaise with the IT Team for supporting GMA users: create new account, decentralize access
on EO and SharePoint
5. Support the EO Master Structure of GMA Group of Companies
6. Prepare reports, presentations deck and other documentation as assigned
7. Process new contracts, amendment and renewals, including manage and organize
documents, filing, data collection and analysis
8. Handle all aspects of the work visa process, including applications, renewals and
cancellations
9. Implement the Company's policies, procedures and regulations align with ESG standards
10. Perform other duties as assigned
B. Office Facilities
1. Oversee the management of the office environment and its working condition and facilities,
including the management of expenses, asset, office supplies, and security
2. Manage the EO Master Structure of GMA Group of Companies
3. Organize internal events such as meetings, conferences, training sessions, holidays and team-
building events, including procurement, business trips arrangement, and others as assigned
Yêu cầu công việc
1. Bachelor’s in business administrative or relating field, with proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position.
2. Full comprehension of office management systems and procedures.
3. Excellent knowledge of MS Office, up-to-date with advancements in office gadgets and applications.
4. Proficiency in English.
5. Exemplary planning and time management skills.
6. Ability to multitask and prioritize daily workload.
7. Have a good sense of creativity.
8. High level of verbal and written communications skills.
9. High level of discretion and confidentiality.
