Senior Import And Export Coordinator

Job Description:

The Senior Export/Import Coordinator will play a key role in supporting daily operational activities for both export and import shipments. This includes coordinating bookings, preparing documents, liaising with carriers and agents, and ensuring smooth cargo movement.

You will also collaborate closely with our regional teams to deliver high-quality service and operational reliability for our clients.

Candidates with experience working in SMEs freight forwarding companies and who are comfortable with an all-rounder role are highly preferred.

Key Responsibilities：

• Manage day-to-day export and import operations (booking, schedule coordination, trucking arrangement, cargo tracking).

• Prepare, review and process shipping documents: invoice, packing list, bill of lading, COO, etc.

• Coordinate with shipping lines, co-loaders, customs brokers, transporters, and warehouses.

• Support customs clearance procedures and ensure compliance with Vietnam regulations.

• Communicate effectively with overseas agents and internal regional teams to ensure timely cargo movement.

• Maintain complete and accurate records of shipments and documentation.

• Assist in developing SOPs and improving operational processes for the new Vietnam office.

• Handle basic customer inquiries, provide updates, and resolve shipment-related issues promptly.

• Minimum 3 years of experience in freight forwarding (export & import).

• Strong understanding of shipping documentation, Incoterms, and customs processes.

• Experience in SMEs freight forwarding companies is highly preferred.

• Comfortable working in an all-rounder role within a small, growing team.

• Good English communication skills (written & spoken).

• Proficient in Microsoft Outlook and Excel.

• Strong attention to detail, good time management, and the ability to multitask.

• Proactive, responsible, and able to work independently.

• Chinese-speaking is an advantage for daily coordination with regional teams.
