Shipping Specialist

Position Summary

The Shipping Specialist is responsible for coordinating international shipments (from Asia to North America), preparing accurate shipping documents, and working closely with freight forwarders, suppliers, and internal teams. This role is critical to maintaining smooth logistics operations across countries.

Key Responsibilities

• Manage end-to-end export processes to the U.S. and Canada via air and sea freight.

• Ensure all shipping activities comply with international trade laws, customs regulations, and company policies.

• Conduct root-cause analysis for any late or failed deliveries and implement corrective actions.

• Review full sets of shipping documents

• Submit Shipping Instructions and verify ordered quantities.

• Utilize container loading plans to optimize space.

• Ensure all shipping documents and container photos are properly stored and organized in shared folders.

• Ensure compliance with Incoterms and customer-specific requirements.

• Stay updated on changes in logistics laws and requirements, and coordinate closely with 3PLs, Shipping Lines and factories.

• Monitor production readiness and shipment schedules with factories.

• Handle Dangerous Goods (DG) documentation, especially for products like room sprays.

• Track and monitor shipments, proactively communicating delays or exceptions.

• Maintain organized and accurate shipping records for internal tracking and audits.

• Support cross-functional teams on logistics-related matters.

• Perform other tasks as assigned by management.

Education & Experience

• Bachelor’s Degree in Logistics, Supply Chain Management,

International Business, or related field.

• 3–5 years of experience in international shipping, preferably for air and

sea shipments from Asia to the U.S. or Canada.

• Strong understanding of import/export regulations, customs

procedures, duties, and related shipping compliance.

Language & Technical Skills

• Fluent in English (written and spoken) is required.

• Strong communication and coordination skills with internal teams and

external logistics partners.

• Good problem-solving and conflict-resolution abilities.

• Skilled in data analysis and reporting using Excel or logistics

management software.

• Proactive, detail-oriented, able to work independently and under

pressure.
