Vietnam Australia International School (VAS) is looking for a Student Information Systems (SIS) and Learning Management System Manager to manage and enhance the functionality, security, and effectiveness of the school's SIS and LMS platforms. The SIS / LMS Manager is the primary owner of the Student Information System (SIS) and Learning Management System (LMS). This role is responsible for the daily operations, administration, user support, and compliance of these platforms. The SIS / LMS Manager ensures that both systems effectively support academic, operational, and reporting needs, and that all data management practices meet regulatory standards. The position emphasizes system functionality, staff training, and secure, reliable access to accurate data.

The ideal candidate possesses expertise in SIS/LMS administration, data analytics, cybersecurity, and student data compliance (FERPA, GDPR, and Vietnamese regulations). They will be responsible for system customization, reporting automation, and staff training, ensuring that the SIS is used efficiently to support student learning and school operations.

Scope of the role

The SIS/LMS Manager oversees the effective operation, administration, and support of the school’s Student Information System and Learning Management System. This role ensures the platforms are securely maintained, functionally aligned with academic and operational goals, and compliant with local and international data regulations. The manager is responsible for user support, staff training, system optimization, and maintaining data integrity, while acting as a key liaison between IT, academic teams, and external vendors to ensure seamless and efficient use of student data systems.

Key Responsibilities

1. SIS & LMS Administration

• Maintain, configure, and manage SIS and LMS platforms.

• Ensure proper functioning of gradebooks, scheduling, attendance, and course structures.

• Manage user accounts, permissions, and roles across platforms.

• Conduct system updates, backups, and documentation.

2. Compliance and Data Governance

• Enforce compliance with FERPA, GDPR, and Vietnamese data protection regulations.

• Develop and maintain SIS/LMS usage policies and protocols.

• Conduct data audits to ensure the accuracy and integrity of student records.

3. User Support and Training

• Deliver training sessions and onboarding for teachers, administrators, and support staff.

• Create documentation, video tutorials, and guides for platform usage.

• Provide ongoing user support and serve as first-line responder for SIS/LMS-related inquiries.

4. System Optimization

• Work with department heads and academic leaders to align system functionality with teaching and learning needs.

• Identify opportunities to improve user experience, simplify workflows, and enhance reporting capabilities.

5. Collaboration and Communication

• Serve as the liaison between IT, academic departments, and external vendors.

• Coordinate with the Data Analyst / Integration Specialist on data syncs and interoperability.

Additional duties

1. Vendor Relationship Management

Manage contracts, service level agreements, and performance reviews with SIS and LMS vendors to ensure timely support, upgrades, and issue resolution.

2. Project Management for System Enhancements

Lead or support projects related to the implementation of new SIS/LMS features, integrations, or platform migrations, ensuring minimal disruption and stakeholder alignment.

3. Data Archiving and Retention Planning

Develop and oversee data archiving strategies in accordance with Vietnamese regulations and school policy to ensure historical data is preserved and accessible as needed.

4. System Performance Monitoring

Monitor SIS/LMS system performance and conduct regular health checks to prevent downtime and ensure optimal functionality.

5. User Experience Feedback Loop

Collect feedback from staff, students, and parents on system usability and functionality, using insights to drive continuous improvement initiatives.

KNOWLEDGE

• Bachelor’s degree in information technology, Computer Science, Data Science, or a related field.

EXPERIENCE

• Minimum 3-5 years of experience administering SIS platforms.

• Strong knowledge of SQL, database management, and reporting tools.

• Experience with student data compliance regulations (FERPA, GDPR, Vietnamese laws).

• Excellent problem-solving and technical troubleshooting skills.

• Ability to train non-technical staff on SIS best practices.
