Imported Goods:
• Import Documentation: Typically, the shipper will send documents 3–
4 days before ETA. Prepare a checklist (Vietnamese product name, HS
code, origin) and send to the vendor for verification via email/manual
process.
• Arrival Notification: Purchase insurance, send arrival notice and
invoice to the vendor for customs declaration. Confirm draft declaration
from the vendor, create PR for tax payment, and send to Accounting
before 11:00 AM daily (Accounting pays tax at 1:00 PM) – using
Intranet.
• Forecasting: Prepare weekly inbound forecast for the warehouse and
attach related documents. Send every Wednesday via email/manual
process.
• Import Documentation for Accounting: Send import documents to
Accounting so they can complete warehouse entry after customs
clearance and prepare for sales dispatch (email/manual process).
Invoice Issuance & Internal Transfer Notes (using SAP HANA):
• Issue invoices based on BU email requests and create internal transfer
notes (for sales to industrial zones/export processing zones, or internal
transfers from warehouse to office for machine/component testing as
requested by BU). BU provides DO and STO numbers; generate Billing
or PNK; BU checks draft Billing and transfer note → Use SAP and send
internal email to accounting (email/manual process).
• Issue gift invoices for BU from events and internal promotional
activities. Fill in inventory check file as requested by BU (BU sends DO
list, generate Billing, BU checks → Use SAP, send email to accounting
→ email/manual process).
Warehouse Operations:
• Check Debit Notes (Inbound/Outbound/QR code/OT Fee) on the 25th
and 26th of each month for warehouses in the North and South
(email/manual process).
• Transportation Invoice: Official vendor (MLC) issues the transportation
invoice at the end of the month based on shipping invoices provided by
FAI and FAM admins (email/manual process).
• Provide Advice: Offer guidance when there are issues with imported
goods or warehouse-related activities (email/manual process).
Payment:
• Process customs service fee payments for both North and South regions
(using Intranet).
• Process warehouse service fee payments for both North and South
regions (using Intranet).
Reporting:
• Prepare monthly Customs Clearance Report (email).
• Prepare Delayed Shipment Report (email).
• Maintain insurance and FedEx files (if applicable) (email).

WORK EXPERIENCE
• At least 2 years, priority in Automation Industry
ABILITIES/SKILLS
• Ability to develop collaborative and harmonious relationship with external parters and clients at the senior level
• English (Intermediate Level)
• Well-developed problem solving and decision-making abilities
• Well-organized and time management skill
